Suppressed Assignment Check Box
The Suppress Assignment check box in the person’s Assignment tab suppresses the user’s shift assignment for the day when a non-working exception occurs, such as Sick or Vacation time off. When suppress assignment is implemented, the employee must manage working time-on and time-off in order to recognize a full work week, and ensure that the correct number of hours worked reach payroll if feeding a payroll system.
As such, only specific job functions can benefit from this feature, such as salary positions or positions that do not require backfilling.
Use Case:
Joe works Monday through Friday from 8AM to 5PM with Suppress Assignment enabled.
- Joe plans to take the entire day off. He submits a vacation time-off work code for the entire day. His shift assignment does not create a vacancy on the Roster. Payroll displays Vacation 8AM -5 PM.
- Joe has a doctor’s appointment in the morning, and needs to take a few hours off. Joe plans to return to work that same day to finish his shift. Joe adds a Sick work code from 8AM -12PM. The Calendar and Roster now shows Joe on Sick leave from 8AM- 12PM. The Payroll report only shows Sick time from 8AM-12PM. The second half of the shift is unaccounted for because it is suppressed. To account for the suppressed portion of his shift, Joe must add another work code to indicate he is working the second half of his shift.
General Guideline...
- Suppress the assignment is recommended if flexing the time occurs more frequently than employees taking partial days off, and minimal or no impact to payroll is expected.
- Don’t suppress the assignment if you feel that employees could miss partial days worked and consequently impact payroll.
