People Filter Field Descriptions

Field Name Description
Add Adds new personnel.
Clone Copies the person and their field values located in the General, Profile, and Assignment tabs. Use this feature to quickly create a person’s record that is similar to an existing staff member.
Note: Be sure to review and edit all relevant fields.
Delete Deletes a record. Delete removes all historical references associated with the item.
Audit An audit report displays who created, deleted, or changed a record; when, and the name of the record affected.
Gear Contains personnel data filters and functions. Choices are:
  • Show All But Inactive: Returns people with no profile on the target date.
  • Show Inactive: Returns inactive personnel.
  • Wrap Text in Cells: Wraps truncated text in the cells.
  • Export to CSV: Exports data.
  • Restore Panel Defaults: Returns the page panels to the default location. Field enables when Enable resize features is checked in System > System Information. Available as of application version 7.2+.
  • Table Column Settings: Contains column display options. Field enables when Enable resize features is checked on the System Information page in the System area. Available as of application version 7.2+. See Table Column Settings topic for additional information.
Filters Contains filters and filter functions. Choices are:
  • <no filters>: Returns the list of people with no filter applied.
  • Show Filter Failures: Displays the reason a person failed a filter. Displays the Filter Failure column with failure details if any for the selected person.
  • Show Filter Edit Panel: Displays the Filter People control panel where additional filters can be applied.
  • Hide Filter Edit Panel: Hides the Filter People control panel.

Application Behavior: Filter order (if any exist) operate as follows:1

  1. <no filter>: Returns the list of people with no filter applied. No personal, shared, or global filters exist
  2. Personal Default: your default filter displays
  3. [Global Default]: the global filter displays
  4. [Available to All Users]: shared filters diplay in alphabetical order
  5. Personal filters (alphabetical): your personal filters display in alphabetical order.
Date Arrows Moves the day forward or back.
Target Date The date shown is the target date when running queries or building the People page. The system evaluates staff attributes and returns active staff members that meet the query criteria on the target date supplied.
Now Activated when a Roster option is selected in the People Filter. Click the Now button to display all employees who are on the Roster right now. When activated, this button indicates that the displayed people satisfy the filters at the moment that the button was activated. When not activated, this button reverts to display people who satisfy the filters some time during the selected date.
Date Arrows Loads the page one day forward or back.
Search Searches for personnel by name, rank or key using any of the names specified in the column headers.
Select All Selects the entire list of personnel within focus.
Person Check Box The check box next to the person selects that person. The check box in the column header selects all of the records listed on the page.
Person Menu Box Choices are:
  • Calendar: Opens the selected person’s Calendar
  • Edit: Edits the selected person or people
  • Reports: Navigates to the Reports area with the selected person set in Limit by...Person
  • Contact: Displays the selected person’s contact information
  • Outbound: Sends a message via outbound module to the selected person or people
  • Attachments: Applies an attachment to the selected person; or applies a shared type of attachment to the selected people.

Filter Edit Panel

The Show Filter Edit Paneldisplays the following features:

Field Name Description
Filter Menu Displays filters. Same as Filters field description in the previous table. Note order of operation.
Disc Icon Menu Contains the following functions...
  • Save
  • Add/Edit Filter
  • Delete
Filter Settings in Add/Edit Filter Includes Filter Settings...
  • Selected Filter: Displays either the selected filter. If none exist, <Add New Filter> displays.
  • Filter Name: The name of the filter.
  • Available to All Users: Allows other people with People Filter access to view this filter. If unchecked, the filter is personal. Function enables when permission Filter: Available to All Users is granted.
  • Default filter: Sets a filter as your initial view when accessing people. This check box overrides a Global default filter. Function enables when permission People: Filter is granted.
  • Global default filter: Makes an Available to All Users filter the default filter for people that do not have a default personal filter set. Function enables when permission Filters: Apply Global Default is granted.
Exclude Scheduled Into Excludes Scheduled Into personnel from the filter results. Field visible in an institution focus database environment.
Clear All Appears when a filter is active. Removes all selections from all of the tabs on the Filter By pane.
Filter By Filtering is the narrowing of a broad list of people by user-defined characteristics or criteria. This application provides the user with the ability to create specific filters in order to narrow the number of people displayed.

Filters are date sensitive and are enabled by Conditions. Conditions are specific requirements and provisions selected by the user.

Filter By... has four tabs: Person, Profile, Assignment, and Roster
